Edit Project Documents: Meeting

For the Meeting Project Document, you can edit the General info (Fig. 1), Topics, Attendees, Notes, Attachments, Emails, and Audit log pertaining to each meeting.

**You can only edit the meeting information if it is not in the Voided status AND you are either the creator or organizer.

General Information

The General info screen is the first edit screen to appear (Fig. 2), You can easily navigate to the other edit document screens by using the tabs under the title (Yellow box Fig. 1).

**The Subject must be defined to save information

By default, the organizer of the meeting is assigned to it. To change this, use the provided dropdown.

Topics

To add a new topic to the meeting, use the “+/Add” Button (Orange box Fig. 2) and fill out the detail on the edit screen it redirects you to (Fig. 3).

To Edit a topic, use the “Edit” button (Yellow box Fig. 2) on the corresponding topic.

To Remove the topic, use the “X/Delete” Button (Red box Fig. 2) on the corresponding topic.

To add detail or sub-topics to a topic, use the “+/Add” Button (Green box Fig. 2) on the corresponding topic. This will redirect you to the edit page for the new detail/sub-topic (Fig. 4).

After adding the detail then you can either Save or Save & Close which function as normal, or use the Save & New which automatically creates and opens the edit for a new detail item/sub-topic.

Attendees

The Attendees list can be used to show everyone involved with the meeting and is used for emails. To remove an individual from the list, use the corresponding “X” Button (Red box Fig. 5) To add a contact or multiple contacts to the list, use the “+” Button (Green box Fig. 5). This will take you to the standard Contact search screen with the exception that it will check boxes along the first column, where you can check all contacts you wish to add, then press save to add them.

Once the meeting has started you can use the last column to mark the individuals on the list as N/A, Absent, or Present. Once all attendance has been taken, Save or Save & Close.

Email

**You can only send emails if you are the Organizer

Once one or more emails have been sent, you can view them from this tab. You can view the email details using the “View/folder” Button (Orange box Fig. 6), which will open a window with the email details. You can download the corresponding attachment by clicking the pdf link (Green box Fig. 6). You can sort using the blue headers (Purple boxes Fig. 6), to sort by Date, From, or Subject.

Audit Log

This table shows a list of all changes that have been made.
